Privacy Policy

This policy explains what personal data is processed when you visit interobservers.com ("the site"), why, and what your rights are. Last updated: October 6, 2026.

Who is responsible

The site is operated by a private individual based in Portugal, who is the controller of the personal data described here. Contact for any privacy question or request, including a request for the controller's identity and postal details where the law gives you that right: [email protected].

What we collect and why

• Technical and security data. When you load a page, our hosting provider (Hostinger) and our content-delivery and security provider (Cloudflare) process your IP address, browser details and the requested URL to deliver the page and protect the site from abuse. Legal basis: our legitimate interest in running a secure website.
• Analytics. We use Google Analytics 4 to understand which pages are read, using pseudonymous identifiers, pages viewed, device type and approximate location. Where consent is required (for example in the EU, EEA and UK), analytics storage stays off until you allow it in the consent tool. On Employer Desk pages it also counts tool use: choosing a state, completing a checklist, generating a document (with the document type and format), using a calculator (with the calculator name), clicking a partner tool (with the program name), signing up for alerts and sending an error report. With the share buttons it also counts: copying or sharing a link to a calculator result (with the calculator name and how it was shared: copy, email or your device's share menu), whether a downloaded document kept or removed the InterObservers line (with the document type), and a visit that arrives from a shared result or from the line in a document (with the calculator or document name). These events carry only those labels and the page address, never your email address, anything you type or the text of your documents. Legal basis: consent.
• Umami (cookie-free visit and tool counts). We also count page views and the same Employer Desk tool events with Umami, an open-source analytics tool that we run on our own server, so this data is not shared with a third party. Umami sets no cookies and does not store your IP address. For each visit it keeps the page address (without the part after "?"), page title, referring site, browser, operating system, device type, screen size, language and approximate location (country, region and city, worked out from the IP address, which is then discarded), grouped under a visit code made from a one-way hash of the IP address and browser details with a value that changes regularly, so visits cannot be linked over long periods. Like Google Analytics, it only loads after you allow analytics in the consent tool where consent is required. Legal basis: consent.
• Advertising. Ads are served by Ezoic and its advertising partners, including Google. They may use cookies and similar identifiers to show, measure and, if you allow it, personalise ads. Consent is collected through the Gatekeeper consent tool (IAB Transparency and Consent Framework) where required. Legal basis: consent, or the partner's legitimate interest where the framework permits and you have not objected.
• Employer Desk documents. The document tools on our Employer Desk pages (letters, forms, checklists and policies) generate the document in your browser. The text you type, and the finished document, are processed only in your browser: they are never sent to us or to anyone else, and we do not store them. The same applies to the Desk calculators. The performance review builder works the same way for what you type: your ratings, your notes and the finished review stay in your browser and are not sent to us. The job you choose is different: to show its tasks and skills, your browser loads that job's public O*NET data file from our site, so the job code appears in our server logs, and a link that opens the builder with a job already chosen (?occ= in the address) puts the job code in the page address that our analytics receive. Nothing you type is sent. The self evaluation template works the same way: your ratings, your answers and the finished self evaluation stay in your browser and are not sent to us; the job you choose loads the same public O*NET data file, and a link with ?occ= puts the job code in the page address. Each downloaded document ends with one small line under the notice, "Prepared with the free InterObservers" and the Desk's name, followed by the address of the template page. In the .docx and .pdf that address is a link with two labels (utm_source=document and the template name) so our analytics can count visits that come from a document; nothing from your document is in it. The option "Remove the InterObservers line", next to the download buttons, leaves the line out. On the Desk calculators, "Copy link to this result" makes a link that reopens the same result. It holds only the choices and numbers you entered (for example a state, a date, an amount or an official job or area code), never a name or text you typed, and it sits after the "#" in the address: your browser does not send that part to our server, and when the link is opened the page takes it out of the address before any other script on the page runs, so our analytics do not record it. Making the link stores nothing and sends none of your numbers anywhere (we only count that a link was made, as described under Analytics); the link goes only where you paste or share it. The Share and Email buttons use your device's own share menu or email program; there are no third-party share scripts on the site. Your tick on the download acknowledgement ("I understand this is a general template...") is also remembered only in your browser's local storage. The Desk remembers the state you choose in your browser's local storage so pages can show that state's rules; clearing this site's data in your browser removes it.
• Meeting Desk tools. The icebreaker questions, the team building activities, the meeting agenda template and The Daily Huddle work in your browser. The filters you pick and the agenda text you type stay in your browser and are not sent to us; the agenda file is made on your device. Your Daily Huddle answers and your streak are kept only in your browser's local storage. The analytics events from these tools (see Analytics above) carry only the tool name and, when you share, how the link was shared (and, for the agenda file, the meeting type), never a filter you pick, a score, text you type or a name.
• Employer Desk sign-up. If you sign up on a Desk page, we store your email address, the state you chose, the situation and document type of the page you signed up from, your answers about team size and what runs your payroll or scheduling, and a record of your consent, in our email platform (HighLevel). We use this to send you the emails you signed up for and to keep them relevant to your state and situation. We never store the text of your documents. Legal basis: consent. You can unsubscribe at any time with the link in any email we send, or by writing to [email protected].
• Newsletter and downloads. If you subscribe or request a download, we store your email address, the page you subscribed from and the topics you showed interest in, in our email platform (HighLevel), to send you the newsletter or the file. Legal basis: consent. Every email has an unsubscribe link. Download and unsubscribe links carry a coded token instead of your email address, and download links expire after 30 days.
• Unsubscribe requests. When you use a one-click unsubscribe link, our server records the request code from the link, the date and time and the type of request, so the opt-out can be applied to your address. We do not record your IP address with it. Legal basis: our legal obligation to honor opt-outs.
• Affiliate link clicks. When you click a link through our /go/ redirect, we record the time, the page and the program clicked, and whether the request looked automated. We do not store your IP address or other identifiers in that record. The partner site you land on may set its own cookies.
• Error reports. If you use a "Report an error" form on the Employer Desk, we store the page address, the state and topic you picked, your message and, only if you give it, your email address, with the date and time. We do not store your IP address with the report (our server counts requests per connection for a short time only to block abuse, using a one-way code instead of the address). We use reports to check and fix our rules, and your email only to reply about your report. Legal basis: our legitimate interest in keeping the Desk accurate, and your consent for the optional email. Please do not include personal details about employees or other people in your message.
• Messages you send us. If you email us, we keep the correspondence to reply and to keep a record of corrections and requests. Legal basis: legitimate interest in answering you.

We do not ask for sensitive data and the site is not directed at children under 16.

Who we share data with

Only with service providers that run the site for us: Hostinger (hosting), Cloudflare (content delivery, security and email routing), Google (analytics and advertising), Ezoic and its advertising partners, HighLevel (newsletter and Desk sign-ups), and the affiliate programs whose links you choose to click. We do not sell your personal data for money.

International transfers

Some of these providers process data outside the EU/EEA, including in the United States. Where that happens we rely on the safeguards those providers offer, such as the EU-U.S. Data Privacy Framework or the European Commission's Standard Contractual Clauses.

How long we keep data

• Newsletter and Desk sign-up data: until you unsubscribe or ask us to delete it.
• Error reports: 12 months from the date you send them, then deleted automatically; earlier if you ask us to delete yours. Corrections we publish in the Desk changelog never include your message, name or email.
• Unsubscribe request records: 12 months from the request, then deleted automatically. Your opt-out itself stays in force.
• Emails: as long as needed to deal with your message and any follow-up.
• Analytics data: for the limited retention period set in our Google Analytics account.
• Advertising and consent cookies: for the periods set by the providers, described in our cookie policy.

Your rights (EU, EEA and UK)

You can ask for access to your personal data, correction, deletion, restriction of processing, a portable copy, and you can object to processing based on legitimate interest. Where we rely on consent you can withdraw it at any time, without affecting earlier processing. Write to [email protected]; we answer within one month. You can also complain to a data protection authority: in Portugal this is the Comissão Nacional de Proteção de Dados (cnpd.pt), or the authority where you live.

Your rights (United States)

Depending on your state (for example California), you may have the right to know what personal information we hold, to have it deleted or corrected, and to opt out of the "sale" or "sharing" of personal information for cross-context behavioural advertising. We do not sell personal information for money. Advertising cookies set by our ad partners may count as "sharing" under some state laws; you can opt out through the consent tool's privacy settings, by clearing this site's cookies, or through industry opt-outs such as optout.aboutads.info. To make any request (including access to or deletion of a sign-up or an error report), email [email protected]. We may ask you to confirm the request from the email address concerned. We will not treat you differently for exercising these rights.
