About this template

A letter that confirms a paid or unpaid suspension in writing: the reason in facts, the start and end dates, when to come back, and what happens next. Includes notes on what to check about pay before you send it.

A suspension letter puts three things on paper: why the employee is being suspended, for exactly which dates, and when and how they come back. It can be a disciplinary step after earlier warnings, or a paid suspension while you look into a serious complaint.

Whether the suspension is paid or unpaid is the part to check before you send it. The notes in the preview explain the federal salary rule for exempt employees and point to your state's wage rules. Fill in the fields and download the letter; nothing you type leaves your browser.

How to use this template
  1. Decide the type first: a disciplinary suspension after earlier warnings, or a paid suspension while you look into a complaint. Write the letter for that type only.
  2. Check the pay question before you choose unpaid: read the notes in the preview and check your state's wage rules.
  3. Give exact dates: the first and last day of the suspension, and the date, time and place to come back.
  4. Describe the facts and the written policy involved. For an investigation, describe the complaint without conclusions.
  5. Hand over the letter in a short private meeting, ask for a signature for receipt, and give the employee a copy.
  6. Put the return date in your calendar and plan the return meeting.
Example wording

Examples of the level of detail that makes a document clear. Replace them with your own facts.

  • Disciplinary, conduct: On September 8 at about 3:20 p.m., in the stockroom, you shoved a coworker during an argument about the delivery schedule. Two employees saw it. This follows a final written warning on August 20 for a verbal altercation. You are suspended from September 10 through September 12 and should return on September 15 at 9:00 a.m.
  • Pending investigation: On October 2 we received a written complaint about comments made to a coworker during the October 1 closing shift. While we look into the complaint, you are suspended with pay from October 3 through October 9. This is not a finding that you did anything wrong. Please return on October 10 at 8:00 a.m., when we will share the outcome.
  • Instructions during the suspension: Please leave your store keys with the manager before leaving today. Your access to the scheduling app is paused until your return. You can still reach payroll and HR at the usual number.

Questions people ask

What should a suspension letter include?

The reason in facts with dates, the written policy involved, earlier warnings if any, whether the suspension is paid or unpaid, the exact first and last days, the date, time and place to return, a contact person, what is expected on return, and a signature line for receipt.

Can a suspension be unpaid?

Often, but check first. For salaried exempt employees, the U.S. Department of Labor's Fact Sheet #17G lists deductions for 'unpaid disciplinary suspensions of one or more full days imposed in good faith for workplace conduct rule infractions' among the deductions that are permissible. State wage laws can add their own limits, so check your state as well.

Should a suspension during an investigation be paid?

Many employers pay the employee during an investigation suspension because nothing has been decided yet, and the letter should say that the suspension is not a finding of wrongdoing. Check your own policy and your state's wage rules before choosing unpaid.

How long is a typical disciplinary suspension?

There is no single standard. Your written policy sets the length. For salaried exempt employees, the federal rule quoted on this page refers to suspensions of one or more full days, so partial-day unpaid suspensions are a point to check first.

What happens when the employee comes back?

Meet on the return date, go through the expectation in the letter, and set a review date if the suspension was disciplinary. If it followed an investigation, share the outcome and any next step in writing.
